Projects Assistant - NEAT team

Key Responsibiities:

Coordination and setting up of meetings as directed by Programme Delivery Manager
Tracking of team members annual leave
Managing set up and induction of new starters (PO, Logon, IT equipment)
Setting up and control of the storage of paper records
General admin duties as directed by the Senior Neat team, eg scanning of documents
Arranging accommodation, training courses and booking of medical appointments for team members
EBIS entries – Invoices and Purchase Orders as directed by Projects Controller and/or the team members
Setting up of travel arrangements including trains, flights and hotels for team members
Collection and distribution of any paper based mail
Take minutes of key meetings as directed by the Projects Controller
Supporting creation and delivery of business briefings, roadshows and conferences
Support the processes to maintain effective programme controls, as directed
Carry out other ad hoc admin duties as required

Job Skills, Experience & Qualifications:

Essential

Previous experience of supporting Senior Management and a team
Successfully able to communicate, build relationships and influence at all levels of the business.
Minute taking
Proven successful experience of working with a wide range of stakeholders
Able to multi-task, prioritise and re-prioritise complex and competing demands to achieve successful outcomes
Able to work under high pressure and to tight deadlines, using initiative and remaining calm under pressure
Flexible, pro-active approach to work to be able to pre-empt needs ahead of schedule
Advanced proficiency in the Microsoft Office suite of programmes and the internet

 Desirable

Understanding or experience of working on projects in a railway environment, preferably for a Train Operating Company or within a Franchise.
Experience of working in customer focused environment.
Experience within the relevant disciplines of Abellio and / or external Rail organisations
Software package *** Ebis Purchase order system
Ability to identify actions designed to improve efficiency and effectiveness.
